- The Story
A corporate HR team in South Africa wanted to bring greater clarity and structure to its internal processes. With employee onboarding, leave approvals, and cross-departmental responsibilities often managed through emails and informal communication, the team needed a practical way to visualize workflows, clarify responsibilities, and improve coordination. ThriveTechEd delivered a customized, five-hour live Microsoft Visio training session for 10 team members, helping them turn everyday HR processes into clear, structured visual workflows.
Turning complex HR processes into clear workflows with Microsoft Visio training
The training focused on helping the HR team understand how Microsoft Visio could be used to document, visualize, and communicate business processes. Rather than relying solely on theoretical instruction, the session used real workplace scenarios to guide participants through building practical diagrams. By the end of the session, the team had developed three key visual deliverables:
A structured workflow illustrating the employee leave request and approval process, making the sequence of actions and decision points easier to understand.
A visual representation of the HR department’s organizational structure, helping communicate reporting relationships and departmental roles.
A detailed process map using swimlanes for Employee, HR, Manager, IT, and Finance, showing how responsibilities and activities move across departments throughout the onboarding process.
In addition to these deliverables, participants explored how artificial intelligence could support process mapping. AI was used to draft workflow steps and decision points, which the team then reviewed, refined, and translated into structured Microsoft Visio diagrams.
The practical exercises allowed participants to work with Visio shapes, connectors, layouts, and diagramming techniques while developing workflows relevant to their actual responsibilities. This approach helped bridge the gap between learning software features and applying them to everyday business processes.
By working through familiar HR scenarios, the team could immediately recognize how visual documentation could improve communication, make responsibilities easier to identify, and provide a clearer understanding of internal procedures.
A closer look at cross-functional onboarding
One of the most valuable aspects of the training was mapping the employee onboarding process. Onboarding involves several departments, and each plays a different role in ensuring that new employees are properly introduced, equipped, and integrated into the organization.
Before visualizing the process, many of these activities were communicated through emails and individual departmental interactions. Although the information existed, understanding the complete sequence of responsibilities and handoffs was more difficult.
Using Microsoft Visio swimlanes, the team mapped the onboarding journey across five distinct participants: Employee, HR, Manager, IT, and Finance. Each lane represented a specific area of responsibility, making it easier to see how tasks moved between departments and where coordination was required.
The exercise brought an important issue into focus: certain handoffs between HR, IT, and Finance did not have clearly defined ownership. Once the entire process was displayed visually, the team could identify areas requiring clearer responsibilities and better coordination.
Through this exercise, participants gained a practical method for documenting cross-functional processes, identifying decision points, and communicating responsibilities. The resulting map provided a shared visual reference that could support more consistent onboarding and future process improvements.
The power of practical Microsoft Visio training and AI-assisted process mapping
The five-hour training session demonstrated how practical Microsoft Visio instruction can help employees move beyond basic software knowledge and apply visual process mapping to real organizational requirements.
By creating an employee leave approval workflow, an HR organization chart, and a cross-functional onboarding map, participants gained hands-on experience with three different types of business diagrams. Each deliverable addressed a specific communication or documentation need within the HR environment.
The integration of AI added another dimension to the learning experience. Participants explored how AI could help organize initial workflow ideas, draft process steps, and identify decision points before refining the information and building the final diagrams in Visio.
Today, the team has practical experience using Microsoft Visio to visualize HR processes, document responsibilities, and communicate workflows more clearly. The training also provided a foundation for applying similar techniques to other departmental processes where clear ownership, coordination, and documentation are essential.
